Job Description:

Position Summary: The Lead Dental Patient Access Representative assures that all business aspects of the dental office function in an orderly and proficient manner to permit an organized and profitable dental practice that offers quality treatment and excellent service to all patients.

Essential Functions of the Job:

* Point of contact for the Dentrix system and related trainings. * Prepares work schedules and assigns personnel for coverage. Oversees, directs and trains Patient Access Representatives, Records Clerks, and the Leads of the Dental Department front office. * Arrive to work 15 to 20 minutes before the first patient has been scheduled to ensure that all reception's equipment is in functioning order at the start of the day, and ensures that all sign-in sheets are available and displayed for arriving patients. * Documents any telephone calls from employees calling in sick and advises the back-floor supervisor. * Contacts patients if their provider is unavailable on any given day. * Documents any patient cancellations. * Covers the front desk during times of need. * Collects and distributes outgoing and incoming mail twice daily. * Gathers all encounters from the previous day. Makes any corrections necessary to the labels and forms. Completes any missing information regarding treatment provided. * After processing all forms for scheduled patients and emergency visits, counts all encounters and emails the tally to contact person at the Billing and Dental Departments. * Before sending all encounters to the Billing Department, ensures that claims are processed, coded, and billed to the proper insurance and that proper charting and documentation is performed. * Processes referral requests and treatment pre-authorizations for all dental insurances such as Ryan White, CMS, Community Administrators, Healthy Families, Pacific Care and others. * Based on the patient's insurance coverage, makes financial arrangement with patient at time of consultation. * Oversees and instructs the Patient Access Representatives in the process of daily deposits, receipts and monthly journal reports. * Performs or oversees the 24 or 48-hour patient appointment reminders. * Confirms that each provider has the correct amount of patients appropriately scheduled each day. * Prepares the master schedule to open the appointment scheduling system for providers. Works with the IT Department to appropriately develop provider's schedule templates. * Assists in last minute schedule changes and patient rescheduling. * Works with other departments regarding patient billing, scheduling and related issues. * Requests patient charts from the existing patient chart archiving company and works with the organization and medical records during patient chart purging. * Coordinates the preparation of reports and written documentation, as required by the department, company, state and federal agencies. Completes special projects as requested (e.g. surveys, statistical reports). * Responsible for equipment and office maintenance and arranges the order of front office supplies.

Additional Duties and Responsibilities:

* Processes and submits orders to maintain an adequate inventory of forms, clerical supplies, copying paper and equipment. * Complies with established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards. * Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops. * Attends meetings as required and participates on committees as directed. * Performs other duties as assigned.

Job Requirements:

Education Required (Minimum level of education): High School or GED equivalent.

Certifications/Licenses Required: None

Experience Required (Minimum level of experience): 2 years in a dental setting.

Supervisory Experience: At least 1 year of supervisory experience preferred.

Verbal and Written Skills Required to Perform the Job: Good verbal and written communication. Bilingual (English/Spanish)

Technical Knowledge and Skills Required to Perform the Job: Knowledge of MediCal, Medicare, managed care plans and insurance agreements. Claims processing, coding and daily operations of dental office, OSHA regulations and safety procedures. Ability to prioritize workload and determine priorities.

Equipment Used: Personal Computer, Dentrix, and CRT

Working Conditions and Physical Requirements: Prolong periods of sitting, walking and occasional lifting of up to 10 lbs. May be required to work evenings and/or weekends.
