Job Description:

University Mechanical is currently seeking an experienced HR Administrative Assistant for our San Diego CA location. The HR Administrative Assistant position will execute all of the HR administrative functions.

The essential duties include the shipping of packages, answering phone, and maintenance of the flow of documents, records, files, reports, and other information. This includes the proper controls of such information within the company and external to the company. These duties incorporate the adherence to standard University Mechanical forms and procedures, as well as the other duties that may be assigned. At times, the specific daily tasks may vary by project type, project requirements, and experience that the HR Administrative Assistant has.

  • Health benefits - research missing information on enrollment forms, assist employees in filling out benefit enrollment forms correctly, and follow-up with emails and/or phone calls if enrollment forms are incomplete in order to process through Corporate.
  • Generate and maintain new hire and termination documents.
  • Perform new hire orientations and exit interviews.
  • Generate Excel spreadsheets, HR office forms, and letters for HR Manager.
  • Process FMLA documents for employees taking a leave of absence.
  • Scan and index confidential personnel records in Vista/Viewpoint.
  • Generate labor law binders and update outdated State pamphlets and/or forms.
  • Order and fill in information on Labor Law Posters distributing to project foremen and project coordinators.
  • Recruiting - Post resumes on corporate recruiting program (PCRecruiter) and check program for new resumes and distribute to appropriate manager for disposition.
  • Generate monthly receptionist coverage calendar for Anaheim office.
  • Relieve receptionist for morning, lunch, and afternoon breaks once a week.

Prefer a minimum of 2 to 3 years administrative construction experience.


Proficient in MS Word, MS Excel, Internet, and Blue Beam, Office 365, Keystyles, Viewpoint/Vista preferred.
